Operations Manager, The Well

The Well is currently seeking a talented individual to join its Property Management Team. This person will report to the General Manager. The ideal candidate is innovative, self-motivated and detail-oriented. The candidate must be organized and have proven capabilities in multi-tasking, problem solving and prioritizing workloads.

OVERVIEW

The team at The Well will be dynamic, nimble and agile.  It will be focused on new initiatives, innovation and continuous improvement and efficiency.  Relationship building and collaborating is second nature, and you as a team member can apply strong interpersonal communication skills to readily collaborate with stakeholders, tenants, the public, and team members in building a rich and engaging tenant experience and ensure properties are performing to expectations by delivering on the following:

RESPONSIBILITIES

  • Responsible for transition of properties from development to full occupancy;
  • Develop annual operating budget, in collaboration with the Senior Property Manager, for all categories of expense and recovery by conducting thorough studies of all previous years’ budget, repairs and upgrades and by controlling expenses;
  • Monitor operational expenses on a monthly basis by reviewing actual performance against budget approving all purchase orders and invoices and conducting a monthly variance analysis to determine reasons for variance and find methods to address the situation in order to ensure expenditures remain within prescribed budgets and to reforecast accordingly;
  • Ensure all HVAC equipment operates at maximum efficiency by implementing clear and concise operating procedures. Plan, organize and administer the preventative maintenance program by assigning tasks and ensuring timely completion;
  • Manage the upkeep and improvement of the property’s physical aspect and curb appeal by overseeing the day to day operations related to parking lots, paving, landscaping, snow removal, soft seating, directional signage & mall scape, clerestory/skylights, high dusting/cleaning, power washing, waste removal and recycling;
  • Conduct routine inspections on all site mechanical, electrical, and HVAC systems and related equipment including but not limited to water treatment, boilers, heat pumps, roof top units, air conditioners, on a regular basis in order to ensure equipment is maintained in good working order;
  • Audit all daily/weekly/monthly logs and ensure readings are properly maintained, look for any irregularities and discrepancies and take appropriate action to ensure safe and efficient operation of all equipment/systems;
  • Participate in the integration of new Tenants with respect to Landlord and Tenant Work, including the review and approval of electrical and mechanical services in collaboration with the people assigned in the project;
  • Ensure all tenant concerns are addressed in a timely and professional manner and assist in solving issues as required. Follow up with the tenants to ensure they are satisfied with the work;
  • Facilitate and coordinate on-going, open communications with tenants by attending various meetings as required by the tenants to understand and address their operational concerns in order to ensure their needs are being met and the organizations assets are maintained appropriately;
  • Communicate customer issues with management team and devise ways of improving the customer experience, including resolving problems and complaints;
  • Manage third party contract relationship and direct reports within area of responsibility by fostering and maintaining positive labor relations, providing regular feedback, assisting with training needs, reviewing/approving & maintaining personnel schedules and keeping payroll and employee records;
  • Participate actively in the Fire Safety Plan and emergency response by ensuring the operation and maintenance of the fire and life safety systems, including emergency power systems in accordance with applicable codes. Also participate in the property’s health & safety program, performing site inspections, recommending improvements and following-up on corrective measures;
  • Respond to after hour’s emergency calls by going to the site and taking the necessary actions required to ensure all emergency procedures are followed and the security of personnel and the property is maintained;
  • Comply with company policies and procedures at all times and ensure building standards and efficiencies are maintained to meet LEED Platinum Standard;
  • Improve processes and policies in support of the strategic plans for the property. Formulate and implement departmental and organizational policies and procedures to maximize output;
  • Ensure compliance with any and all applicable government regulations;
  • Recruitment, selection, hiring and training of a new Operations Team that will consist of 20 members;
  • Manage the activities of all direct reports to ensure the timely achievement of department goals, within prescribed policies, procedures and standard business practices;
  • Work closely with Building Operators to ensure smooth and efficient building operations. Audit response times to all Tenant/PM requests and tasks;
  • Provide leadership and training to Building Operations Staff;
  • Maintain positive staff relations through consistent communication and meetings;
  • Train staff to troubleshoot equipment and perform repairs to reduce operating costs;
  • Train all Building Operations Staff according to their needs and on any duties / procedures they are not familiar with. Ensure each Building Operator is cross trained on all of the buildings at The Well;
  • Provide training for all staff on the procedures for Life Safety, Emergency Response and the Fire Safety Plan;
  • Oversee Building Operations Staff where required with the coordination and scheduling of required maintenance or repair/replacement with the appropriate subcontractor;
  • Complete any other duties as requested or as required.

QUALIFICATIONS

  • Strong knowledge of all aspects of the building operations including but not limited to HVAC, mechanical, electrical, plumbing, life safety, etc., and ensure all equipment and systems are operated in a safe and efficient manner and are in compliance with all applicable government codes & regulations;
  • Post Secondary Education with a specialization project management in Building Operations;
  • Certificate of Building Environmental Systems – Operator Class One & Two or equivalent;
  • Minimum 10 years’ experience in physical plant operations, HVAC, Plumbing, Electrical, Fire Alarm, and other related equipment and systems;
  • 7 Years maintenance / supervisory experience;
  • Recent experience managing in a unionized environment including solid understanding of collective bargaining;
  • Strong analytical & graphical aptitude and able to read & interpret plans and/or drawings;
  • Excellent verbal and written communication and customer service skills;
  • Strong administrative skills and ability to lead, coach and manage employees;
  • Able to work independently with minimal direction and able to respond quickly to emergency situations;
  • Good judgment, decision-making and problem solving skills;
  • Develop and sustain cooperative working relationships with operation staff, property manager, contractors, tenants and the public; open to partner with clients to meet client needs; self motivated, professional and flexible; coachable, empower and coach/counsel staff in the achievement of performance goals;
  • An assertive self-starter with the ability to work independently under minimal supervision;
  • Competent in time management and must be able to allocate work load according to priorities, work well under pressure and manage tight deadlines; can manage multiple demands, adapt to new ideas and constant changes; able to cope with changing client needs and deliver successful results within agreed upon time frames;
  • Collaborative worker and effective member of the team;
  • Detail oriented and good organization skills;
  • Strong Knowledge of Occupational and Safety Act, Knowledge of Workplace Hazardous Materials Information Systems (WHMIS) and First Aid and CPR training;
  • Strong Knowledge of Provincial Building Code & Regulations, Canadian Electrical Code, Provincial Fire Code and Electrical Safety Authority;
  • Strong computer skills including MS Office (word/excel), Knowledge of Angus Anywhere and Building Automation Systems;
  • Experience in managing maintenance/construction projects;
