Position Overview:

This position is responsible for all sales administration and operations efforts for RioCan Living’s existing and future condominium developments.


  • Manage the sales setup and operation of all condo sales offices inclusive of securing printers, computers, stocking supplies etc. Collaborate with IT and sales operations.
  • Manage all sales administrative tasks as it relates to the portfolio. This includes collaboration with Legal in the development of the Agreement of Purchase and Sale and condominium documents, review of all sales documents throughout the sales cycle, coordinating execution of Agreements and creation of all sales related templates.
  • Oversee third party sales companies in the completion of sales administrative functions and sales reporting.
  • Review all occupancy and closing documents inclusive of interim and final Statement of Adjustments.
  • Complete sales documents, amendments and addenda which may be required up to and including final closing of the building.
  • Manage collection of deposits, mortgage pre-approvals and lawyer information.
  • Produce and distribute project related communications to purchasers.
  • Track Tarion Critical Dates and notify relevant stakeholders.
  • Manage numbering and assigning of parking and locker units prior to Occupancy.
  • Collaborate with other departments, such as Leasing and Finance, to ensure the success of all aspects of the portfolio.
  • Support the financial management of the portfolio, including assisting with the annual budget and account reconciliation.
  • Manage the payment of external sales agency and broker commissions.
  • Build and foster working relationships with external brokers and sales companies while promoting the RioCan Living brand.
  • Generate regular sales reports and presentations.
  • Execute pricing increases/adjustments.
  • Oversee sales administration from purchase through to final closing.
  • Ensure optimal customer experience throughout the sales process.
  • Continually review and improve various sales tools, processes and infrastructure systems—both to enable planned growth as well as to identify deficiencies and potential opportunities.
  • Stay current on industry trends by attending seminars, reading industry websites/blogs, studying markets beyond the GTA for emerging trends/best practices.
  • Other duties / projects as required.
  • Travel required within the GTA (visiting sales offices, sites and competitors), with occasional travel within Canada.
  • During launch periods, hours may fall outside of regular business hours, and schedule flexibility is required, including being available on evenings and weekends.

Qualification Requirements:

  • A University degree, preferably in Business or a related field.
  • 5 years of experience in high-rise residential sales or sales operations experience; including sales leadership of a portfolio of projects.
  • Ability to work in a fast-paced environment.
  • Exceptional customer service skills
  • Excellent multi-tasking skills.
  • Proven organizational skills and ability to meet competing deadlines.
  • Excellent critical thinking skills.
  • Proven oral/written communication skills.
  • Able to work collaboratively and effectively in a team environment.
  • High proficiency in Microsoft Office, Excel, PowerPoint and Outlook.
