Reporting to the Sr. Manager, Tenant Construction, the position is responsible for providing accounting and administrative support to the Western Canadian Tenant Construction Team.

Responsibilities:

Provide accounting support to the team utilizing JDE software, including:

  • Create contracts and purchase orders in JDE software utilizing job codes and appropriate tax codes.
  • Inputting change orders.
  • Distributing approved purchase orders to vendors.
  • Accounts receivable for all invoicing.
  • Responsible to ensure vendor invoices meet all RioCan requirements, including statutory declarations, and reviewing invoices for correct taxes, billing companies, and purchase orders.
  • Creation of new vendors into accounting system as needed.
  • Creation of invoices for tenant chargebacks.
  • Creation of Job Cost Summaries and Ledgers.
  • Track payments through RioCan’s accounting system.
  • Troubleshoot JDE issues with head office support.

Other Responsibilities:

  • Providing key correspondence with tenants, including Possession Letters, Drawing Review letters, and distribution of Landlord requirements.
  • Ensuring tenant and landlord contractors have all applicable insurance and workplace health and safety requirements in place.
  • Uploading of standard documents to RioCan Hub, including Possession Letters, Approved Budgets, Drawings, and other reports as needed.
  • Coordinate signing CCDC2 with RioCan’s supplemental conditions between RioCan contractors and head office.
  • Coordinate building permit documentation requests from tenants, including letters of authorization, building permit schedules.
  • Tracking and reporting of project status in a variety of platforms, typically excel based.
  • Prepare accrual lists.
  • Documentation management, including refinement and storing of standard documents.
  • Attend weekly meetings to discuss project status.
  • Send FedEx courier packages as needed.
  • Special administrative projects as directed.

Qualification Requirements:

  • Previous experience in an administrative role preferably in Construction or Real Estate.
  • 3 to 5 years experience using JDE accounting software preferred.
  • Accounts receivable experience preferred.
  • Strong organizational and time management skills.
  • Ability to work independently and in a team environment.
  • Excellent written and verbal communication skills.
  • Proficient in Word, Excel and Outlook.
  • Detail oriented.
  • Positive, can-do attitude.
